The problem
ArtLifting was launching a new ERP and had to reconcile approximately 20,000 archival artwork images, ten years of them, against its database. The images lived across several systems with inconsistent naming.
A manual audit would have taken weeks of staff time, and reconciliation was blocking the catalog migration.
What we built
A matching system that combined exact, pattern, and fuzzy matching to handle the inconsistent names. Matches above a confidence threshold were applied automatically. Everything below it went to a review app for a person to decide.
The rules refreshed on a short cycle, so matching could improve as edge cases surfaced instead of waiting for a rebuild.
The outcome
94% of the full set matched automatically. People reviewed only the edge cases, and the audit took days instead of weeks.
That unblocked the catalog migration onto ArtLifting’s new ERP.
